What this guide helps you do
Create an invoice only after confirming the patient and location. Starting from the patient record or appointment can reduce selection errors because the patient context is already known.
- Start from the invoice list or patient record
- Confirm who is billing and who is billed
- Link an optional case
- Save with or without payment
Before you begin
- Confirm the patient using two identifiers.
- Check the location that should appear under Billed From.
- Know which services, products, or fees belong on the invoice.
Start and check the invoice
Choose New Invoice
From the clinic-wide list, select the patient. From a patient’s Billing area, choose New invoice.
Check the dates and status
Review the issue date and due date generated from clinic invoice settings.
Check Billed From and Billed To
Confirm clinic registration/contact information and the patient or recipient details.
Link a case when relevant
Choose the case. Limited cases show appointments used or invoiced value against the maximum.
Complete and save
Add at least one item
Use the dedicated item guide for services, products, free text, tax, discounts, and promotions.
Review totals
Check subtotal, tax, promotion reduction, and grand total.
Choose the finish
Select Go to payment to take payment now, or Save without payment to issue the invoice with an outstanding balance.
Verify the saved invoice
Confirm the invoice number, status, dates, items, and balance.
Things worth knowing
- The invoice number is assigned by clinic invoice settings and should be treated as a permanent financial reference.
- A case limit shown on the invoice is an important check before saving, not merely informational decoration.
