What this guide helps you do

The Invoices area lists every invoice for the location you're viewing, newest activity first. From here you can search for a specific patient or invoice number, narrow the list by status, and open any invoice to check its totals, what's still owed, and its payment history. This is the place you come to when someone asks “has this been paid?” or “what did we bill them?”

Invoices are grouped by location

The list shows invoices for one location at a time. If your clinic runs from more than one location, use the location selector near the top to switch. The count at the top-left (“Showing N invoices”) always reflects the location and filters currently applied.

Can't find an invoice? Check that you're viewing the location where it was raised. An invoice created at another location won't appear until you switch to it.

Search by patient or number

Type a patient name or an invoice number into the search box. The list updates as you type; clear the box to see everything again.

Filter by status

Use the status filter to show only invoices in a certain state. Choose All statuses to remove the filter.

Page through results

Use Prev and Next at the bottom to move through longer lists. The count shows which results you're viewing.

StatusWhat it means
IssuedThe invoice has been raised but not yet paid in full.
Partially paidSome money has been received; a balance is still outstanding.
PaidThe invoice is settled in full.
VoidThe invoice was cancelled and no longer counts toward what's owed.
Written offThe balance was deliberately cleared as uncollectable.

Read an invoice line

Each row summarises one invoice so you can scan the list without opening every entry. A row shows the patient it was issued to, a status badge, the invoice number and issue date, and the total. If money is still owed, the amount due is called out; a fully settled invoice reads as Settled instead. An Overdue badge appears when an issued invoice has passed its due date.

  • The letter badge on the left is a quick visual cue to the invoice's status.
  • If the invoice came from an appointment, its appointment number is shown on the row.
  • Select any row to open the full invoice.

Open an invoice for detail

Selecting a row opens the full invoice, where you can see its line items, tax and discounts, the running total, any payments allocated to it, and its change history. From there you can take a payment, send or print it, or make a correction, depending on the invoice's status and your permissions.

Jumping straight in Links from a patient's billing details and from the calendar can open a specific invoice directly, so you don't always have to search the list first.
