Four separate templates

Alongside your general invoice settings, you can write a dedicated email for each situation an invoice might be in: paid, outstanding, credit note, and write-off. Each has its own subject and content, so the tone matches what's actually happened.

Write each one

Use the available placeholders to pull in the patient's and invoice's real details, and preview each one before saving.

Getting the tone right

A paid invoice email is a simple confirmation. An outstanding invoice email is a nudge to pay, without being heavy-handed. Keep write-off communications factual rather than apologetic, unless your clinic's policy says otherwise.
