One list, one drill-down page

The Billable Items page (/settings/billable-service) is the master catalog of everything your clinic can put on an invoice — services and products alike, each with a base price. It's what powers the picker in the Line Item Builder every time someone builds an invoice, so an item that isn't listed here simply can't be billed until it is.

Clicking into any item from that list doesn't open a simple edit form — it takes you to a dedicated Service Cost Estimate sub-page (/settings/billable-service/service-cost-estimate/{id}) reached only this way, never as its own item in the Settings navigation. That page is where the item's price is actually broken down and, where applicable, where concession-specific overrides live. Think of the list as the catalog and the cost estimate page as each catalog entry's own detail sheet.

Managing the billable items list

Every service or product your clinic charges for should exist here with a sensible name and an accurate base price, since that's exactly what staff see when they're picking a line item mid-invoice. A vaguely named item, or one with a stale price, doesn't just look untidy in settings — it causes real billing mistakes at the point of invoicing.

Open Billable Items

Go to <strong>Settings > Billable Items</strong>.

Add a new item

Click <strong>Add</strong>, name the service or product clearly, and set its base price.

Edit an existing item

Click into a row to update its name, price, or other details, then save.

Drilling into a Service Cost Estimate

Click any billable item in the list — not an Edit icon, just the row itself — and ClinyPal takes you to that item's Service Cost Estimate page. This is where the base price you set on the list gets a fuller breakdown, and it's also where concession-specific overrides are configured, covered next.

Concession pricing

Some clinics need to charge a different price for the same service depending on a patient's concession status — a pension or student concession being the most common examples. When that applies, the Service Cost Estimate page for an item includes a Concession Pricing section letting you set a per-concession override on top of the base price.

This section can be entirely absent Concession Pricing is hidden completely if your location has no concession types configured at all — there's nothing to show an override for, so the section doesn't render rather than showing an empty placeholder. Once at least one concession type exists, a per-concession price override field appears only for the concessions actually assigned to that specific item, not for every concession type your clinic has defined.

In practice, that means two clinics looking at the same Service Cost Estimate page can see genuinely different things: one with no concession types configured sees no Concession Pricing section whatsoever, while another with several concession types — but only two assigned to this particular item — sees exactly two override fields, not the full list. If a concession you expect to see isn't there, the fix is almost always to assign it to the item, not a bug in the page.
