Set it once, use it on every invoice

Some patients need something a little different on their invoices every time — a parent who should get the invoice instead of the child, a standing note about how they pay, or extra information you always want included. Rather than typing it in on every invoice, set it once on the patient's own record and it's filled in automatically from then on.

Find the billing preferences

Open the patient's record, go to Billing, then choose Edit. Alongside their opening balance, concession type, and referral source, you'll find Email invoice to, Invoice note, and Invoice extra info.

Send invoices to a different email address

Set Email invoice to when invoices for this patient should go somewhere other than their usual email — a parent's address for a child patient, or an accounts department for a corporate client. Once set, it's used both when you email an invoice and when an automatic invoice status email goes out for them. Leave it blank to keep using their normal email.

Preload a note or extra info

Invoice note and Invoice extra info are copied onto every new invoice you create for this patient from that point on — handy for a standing instruction like payment terms specific to them, or details that always need to appear on their invoice. Once copied onto an invoice, the text can still be edited on that invoice without changing what's saved on the patient's record.

Only new invoices are affected Setting or changing these fields doesn't touch invoices you've already created for this patient — it only applies from the next invoice you make for them onward.
