Four separate templates
Alongside your general invoice settings, you can write a dedicated email for each situation an invoice might be in: paid, outstanding, credit note, and write-off. Each has its own subject and content, so the tone matches what's actually happened.
Write each one

| Paid invoice | Emailing a patient a copy of an invoice that's been paid in full. |
| Outstanding invoice | Emailing a patient an invoice that still has a balance owing. |
| Credit note | Emailing a patient a credit that's been applied to their account. |
| Write-off | Emailing a patient about an invoice whose balance has been written off. |

Getting the tone right
A paid invoice email is a simple confirmation. An outstanding invoice email is a nudge to pay, without being heavy-handed. Keep write-off communications factual rather than apologetic, unless your clinic's policy says otherwise.
