Keeping appointment status up to date

Every appointment starts out Scheduled. As the day goes on, update it to reflect what actually happens — Arrived, No show, Cancelled, or Completed — so the calendar, reports, and any linked billing stay accurate.

Change the status

Select the appointment on the calendar and choose the status that matches what happened. The appointment's colour and icon update immediately, so you can scan the calendar and see who's arrived and who hasn't at a glance.

Checking a patient in

When the patient arrives, mark the appointment Arrived. This is a quick, deliberate step — it tells the rest of the clinic the patient is on-site and ready, without needing anyone to ask.

Recording a no-show or cancellation

Use No show when a patient simply doesn't turn up, and Cancelled when they let you know ahead of time. Keeping these separate matters — your cancellations and no-shows report relies on the difference to show a true picture of missed appointments.

Completing the appointment

Mark the appointment Completed once the visit is finished. This is also the point where you'd usually write up the treatment note and, if needed, raise the invoice for the visit.
