Why your Settings menu might look different from a colleague's

ClinyPal tailors the navigation and Settings menu to your role, rather than showing everyone the same, fully-loaded menu and trusting people not to click the wrong thing. If you don't see a settings link that's mentioned elsewhere in the help center, this is almost always why — it's role-gated, not missing or broken, and you'll need an Administrator to grant access or make the change on your behalf.

This gating exists because the pages it covers are the ones with clinic-wide consequences if changed carelessly — who has access to what, how the clinic is billed, how patient privacy is configured. Keeping those behind a smaller set of trusted roles is a deliberate safety measure, not an oversight in how permissions were built.

The three roles

ClinyPal's access model is built around three tiers, from broadest to most limited. Most clinics only ever need to think about this in terms of "who's an admin" and "everyone else," but the middle tier — Power Receptionist — exists specifically for the common case of a front-desk lead who needs more than standard access without needing full administrative control.

RoleWhat it covers
AdministratorThe main owner/admin role, with full access across the entire system, including every page in the table below.
Power ReceptionistA receptionist role with elevated access to some administrative areas beyond standard staff — most notably data import and export — without full administrator rights.
General staffPractitioners and other team members with standard access to day-to-day clinical and scheduling work, but not the administrative pages listed below.

Which Settings pages are restricted

The table below is the reference to bookmark. Everything not listed here follows standard access — it's specifically these pages that are held back from the general staff tier.

PageWho can see it
Users & PractitionersAdministrators only
Clinic DepartmentsAdministrators only
SubscriptionAdministrators only
Patient Privacy SettingsAdministrators only
Data ImportAdministrators and Power Receptionists
Data ExportAdministrators and Power Receptionists

The pattern behind this split is worth noticing: the four Administrator-only pages all touch something clinic-wide and hard to undo — who has an account, how the clinic is billed, how privacy is configured. Data Import and Export sit one notch below that, which is why Power Receptionist gets access to them but not to the other four; moving data in or out is powerful, but it's also a task that legitimately falls to a trusted front-desk lead in many clinics, not just the owner.

Everything else follows standard access Settings pages not listed in the table above are generally visible to staff with standard access. This list covers only the specific pages that are restricted beyond that baseline.

Two side-by-side Settings menus — an Administrator's full menu including Users & Practitioners, Clinic Departments, Subscription, and Patient Privacy Settings, versus a general staff member's shorter menu without those links.

If you're missing access you think you need

If you expect to see a settings link and it isn't there, check with your clinic's Administrator before assuming something is broken. They can review your assigned role and, if it's appropriate for your responsibilities, grant you access — role changes are made from the Editing a User screen, reached by clicking into a staff member's row from the team list.
