Setting up confirmation emails

A confirmation email goes out when an appointment is booked, so the patient has a written record of what they've booked and when. You can have more than one template — useful if different appointment types or locations need a different tone or wording.

Create a template

Go to your settings and open Confirmation email templates, then add a new one. Give it a clear name so you can tell templates apart later.

Choose what's included

Turn on Show business address to include your clinic's address automatically, and Attach calendar event so the patient can add the appointment to their own calendar in one click straight from the email.

Write the subject and content

Write the email subject and body using the available placeholders — patient name, appointment time, practitioner, and location — so each email fills in automatically with the right details for that booking.

Use Preview to see exactly what a patient will receive before you save.

Choosing which appointments get one

Whether confirmations go out at all, and for which appointment types, is controlled on the appointment type itself — so you can turn confirmations off for internal or admin-only bookings while keeping them on for everything patient-facing.
