Where your new patients really come from
Almost every clinic has a working theory about where its patients come from — word of mouth, a specific advertising campaign, a referring practice down the road — but a theory isn't the same as a number. New Patients by Source turns the referral source recorded on each patient's record into a real breakdown: how many new patients each source produced in a given period, and what share of the total that represents.
The report is only as good as what's recorded at intake, which makes it as much a test of front-desk habits as it is a marketing tool. A source that looks like it's underperforming might genuinely be weak, or it might just be under-tagged because staff aren't consistently asking new patients how they heard about the clinic. Read the numbers with that in mind before reallocating a marketing budget based on them.
- Attributes new patients to the referral source recorded on their record
- Filters by date range and location
- Unspecified is a data-hygiene signal, not necessarily a real gap in your marketing
- The source list itself is configured on a separate settings page
Filters
- Date range — limits the report to patients whose first-visit date falls inside the selected period.
- Location — restricts results to a single clinic location, or shows all locations combined.
KPI tiles
- New patients — total new patients added in the selected date range and location.
- Sources — number of distinct referral sources that produced at least one new patient in the period.
- Unspecified — new patients with no referral source recorded on their record at all.
The New patients by source table
Each row is one referral source, ranked by how many new patients it produced in the selected period. The percentage column is what makes the comparison fair across periods of different total sizes — a source that brought in 5 patients out of 10 total tells a very different story than 5 out of 200.
| Source | New patients | % of total |
|---|---|---|
| Source name | Count of new patients attributed to this source | That count as a percentage of all new patients in the period |
Setting up the sources this report reads from
The sources listed in this report come directly from the referral source list configured for your clinic. If a source you expect to see is missing, or several similar sources are splitting what should be one category — "Google" and "Google search" both existing, for instance — that's fixed on the settings page, not here, and it's worth getting the category structure right before it accumulates a lot of history that's awkward to reconcile later.
